The recycle bin is not a recovery strategy
Microsoft 365 includes recycle bins, versions, and limited retentions, designed for specific errors and short timeframes. They are not designed to recover the complete mailbox of an employee who left eight months ago, to return a document library to its state before an incident, or to preserve information for years for contractual reasons.

Our response
An independent, verified and recoverable backup
We configure periodic backups of the tenant data to an external repository, with the retention period agreed by the company. The backup is independent of the platform, allows for the recovery of anything from a single email or file to the complete content of a user or a site, and is monitored just like the rest of the backups we manage.
Company emails, documents, and conversations live in Microsoft 365. An accidental deletion, a decommissioned user, a poorly resolved synchronisation, or ransomware encrypting synchronised files can make critical information disappear beyond the platform's retention periods.

- Microsoft ensures service availability and offers recycle bins, versioning, and limited retention. The shared responsibility model dictates that data protection against deletions, errors, or prolonged incidents is the customer's responsibility.
- Where are the backups stored?
- In a repository independent of the tenant. When the project requires it, the backup can be hosted in our datacenter in the province of Barcelona.
- How long does it take to recover an email or a document?
- Recoveries of specific items are usually resolved in minutes. Mass restorations, such as a complete mailbox or a site, depend on the volume of data.
- Can this be contracted without you managing the entire tenant?
- Yes. The backup can be contracted independently, although protection is more comprehensive when we also manage identities, devices, and email security.
